Summary

The Administrative & Customer Service Assistant directs the front desk where they guide guests, callers, and applicants to the established nature of their visit or call in a professional manner. They contribute to the smooth running of the office by performing various duties handling various administrative functions. As the primary purchase order clerk for non-material purchases, they assist with the procurement process. Furthermore, they assist with Customer Service functions, backup some basic HR functions, and perform other assigned duties as assigned by Plant Management.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Administrative Tasks:
    • Managing front desk traffic by welcoming visitors, answering phones, notifying the appropriate personnel, and directing them appropriately. Ensure guests have signed in and have appropriate safety PPE when out in the plant.
    • Assist and manage purchase order process for non-material purchases including receiving and scanning applicable paperwork to corporate payables department.
    • Assist with maintaining the copier/fax machine in addition to keeping the postage machine maintained. Also ordering, receiving, and managing office and janitorial supplies are essential job functions.
    • Process paperwork and assist in freight receiving process.
    • Backup basic HR functions on as needed basis.

    Customer Service Tasks:

    • Assist in talking with customers by phone or in person, receive orders, and handle changes related to assembly under the direction of the customer service department.
    • Aid in entering customer orders into the system accurately and ensure timely delivery.
    • Assist in soliciting, maintaining, and communicating information related to customer satisfaction and changes.
    • Learn to understand and assist with following lead times to meet customer needs once trained properly.
    • Assist in addressing complaints regarding billing or products, referring product-related complaints to designated departments for investigation.
    • Assist in investigating, communicating, and following up on solutions to quality, materials, and on-time shipping issues affecting customers.

Education and/or Experience

  • Associate’s degree or equivalent from two-year college or technical school in business functions or significantly more experience to compensate for the lack of degree or equivalent as determined by plant management.
  • Minimum of 2 years administrative experience and preferably 2 years of customer service experience in a manufacturing environment.
