Summary

The Warranty Coordinator is responsible for administrating the warranty claim process to maximize efficiency and return on warranty claims.  This individual will also be responsible for providing consultation and training to the service and engineering departments on all matters related to warranty.

 Essential Duties and Responsibilities include the following.  Other duties may be assigned as needed.

  • Develops and assists in implementing standardized warranty submission processes including RMA submission and Product Warranty Registration.
  • Processes all warranty paperwork to ensure proper documentation and verifying warranty criteria as it applies to the customer.
  • Follow up with customer regarding warrantable/non-warrantable claims
  • Preparation of Customer Warranty Reports
  • Maintains Customer Quality Report Card Information
  • Uses technical information sources as needed to complete claims.
  • Coordinates and works effectively with other employees to resolve problems with warranty repairs/reconciliation.
  • Provides guidance to service/customer service staff for regarding warranty related questions
  • Answers incoming phone calls and assists in closing out internal accounting functions as needed.
  • Communicates to departmental management about warranty status on a regular basis and as requested.
  • Assists in any field related issues regarding parts distribution and claim reconciliation.
  • Maintains warranty database accurately and constantly looks for continuous improvement within the processes.
  • Oversees warranty receivable schedules and works with employees and customers to resolve aging items
  • Tracking warranty parts with receipt, tagging, testing status and scrapping status within multiple systems to properly maintain inventory
  • Prepares weekly/bi-weekly worksheet of pending items to be tested to assigned Product Engineers
  • Assists with service projects as requested and ensures proper review of documentation and terminology for coding associated claims

Education and/or Experience

Associates Degree or two plus years equivalent work experience in service or quality department operations.  Ability to interpret documents such as contractual distributer agreements, procedure manuals and service documents.
